Save/Workflow Controls

At the bottom of the editor window are controls for saving, previewing and changing the state of the content item.

To left of the these controls is a State indicator, that shows the current state of the content item. A content item can be in the following states:

Draft

The content item is still being worked on by the author(s) and is only visible to editorial staff.

Submitted

The authors are finished working on the content item and it is ready for review by others (an editor, for example). It is still only visible to editorial staff.

Approved

The review process is completed and the content item is considered ready for publishing. It is still only visible to editorial staff.

Published

The content item is now publicly accessible. If you have added it to an active section page then it will be visible in the web publication, and even if you have not added it to an active section page, it will be possible for readers of your publication to find it by searching.

Draft (with published)

An older version of the content item is published. The version you are looking at is a revised version, and it is in a draft state.

Submitted (with published)

An older version of the content item is published. The version you are looking at is a revised version, and it is in a submitted state.

Approved (with published)

An older version of the content item is published. The version you are looking at is a revised version, and it is in an approved state.

Deleted

The content item has been withdrawn. A deleted content item is only visible to editorial staff. You can always "undelete" a deleted content item by changing its state from deleted to one of the other states.

Precisely how you use these states will depend on your editorial routines. The most important things to understand about them are:

  • Draft, submitted, approved and deleted content items are invisible to the outside world. Only you and other editorial staff can access them.

  • Published content items are always accessible to the outside world. Even if you can't see a link to them on any of your publication's section pages, they will turn up in search results, and anybody who has bookmarked them in their browser or has the right URL will be able to find them.

  • The combined states draft (with published), submitted (with published) and approved (with published) mean that there are currently two versions of the content item in existence: an old published version and the new revised version that you can see in Content Studio. A published content item is automatically moved to the state published draft if you make a change to it. When you publish a content item that is in one of these states, your revised version is published and replaces the old published version. The state then changes to published.

The combined states draft (with published), submitted (with published) and approved (with published) can be disabled, in which case saving changes to a published content item directly updates the published version. These states can be disabled for a whole site, for a specific publication or for specific content types. Your system administrator will be able to tell you whether or not these states have been disabled in your installation.

Exactly what controls you will see at the bottom of the window depend on what permissions you have. There are two possible sets of controls, one seen by users with journalist permissions, and one seen by users with editor permissions.
